ROLE: Executive Assistant, Wheelhouse Group
LOCATION: Split (3 days Tribeca, NYC / 2 days Stamford, CT)
REPORTS TO: Chief of Staff, CEO
OVERVIEW: This role provides high-level administrative and creative support to the CEO and executive team, with responsibilities ranging from scheduling and travel coordination to note-taking,and cross-team communication. In addition, the role contributes to creative initiatives including research, brainstorms, talent discovery, and project support. While today this position serves as an entry-level support role, it offers unique exposure to the heartbeat of the company, working directly with the CEO and Presidents across Wheelhouse. Roles & Responsibilities:
- Primarily responsible of handling scheduling for the CEO and potentially 1-2 other executives as needed
- Assist with both scheduling across the professional and personal schedules of the CEO
- Keep executives organized / on track during the day (send reminders, prep information and bios ahead of calls / meetings)
- Maintain consistent communication and organizational strategy with Chief Of Staff and CEO
- Be proactive and constantly look ahead across all creative endeavors
- Take diligent notes for internal and external meetings as necessary, distribute notes and work with the team to execute all CTAs coming out of meetings
- Coordinate with other offices internally & externally to set meetings, calls, pitches, brainstorms, etc.
- Book and coordinate travel and generate / keep track of itineraries and big industry players to meet with
- Develop a deep knowledge of industry and company contacts and relationships, and keep track of them in an organized and efficient manner
- Handle expense reports of respective executives
- Work with other EA’s on streamlining workflow across WH
Overall Group Responsibilities
- Assist across creative projects for Wheelhouse Group and CEO’s top initiatives
- Includes: idea generation, research, joining creative brainstorms, spotting talent, deck design, writing, and on-set assistance when needed
- Be able to multitask, work independently and under direction and think on your feet
- Embody a no-task-to-small attitude and the ability / flexibility to problem solve, pivot, and work efficiently under pressure
- Monitor and maintain office supplies and help maintain a tidy and clean office space
- Minimum of 1-2 years as an executive assistant in a fast-paced environment
- Assist across projects and events in and around the office where help is needed
- Be able to multitask, work independently and under direction and think on your feet / problem solve
- Flexible hours when needed (to help work events, come in early for office set-up, etc)
- Strong organizational and interpersonal skills
- No task too small attitude
- Ability to handle confidential information with discretion; to exercise good judgment; and to interact professionally with high-level executives, clients, and talent

- Discretion and professionalism when handling confidential information
- Demonstrated ability to thrive in fast-paced, ever-changing environments
